Publications Timeline

The 2007 Collection has changed. This year the timeline for submission is as follows:

24 April 2008 All publications entered into the ACV system and submitted to the Grants office. Please refer to the submission guidelines as to how to submit to the R&D Office.

24 April - 30 May 2008 - Assessment period

30 May 2008 - 28 June 2008 - Appeal and Feedback Period

30 June 2008 - (*approx) Return submitted to DEST

** There will be no extensions made to these dates. Please adhere to the deadlines.

Publications Submission Guidelines

Publications must be made in ONE submission to the R&D office (Chancellery Rm 1.015) by COB Friday 24th April 2008.

The submission must be made in one single lever arch file with all verification material for each publication stapled to the publication.

Each publication must have a completed checklist attached. Ensure all required verification material is provided to the office.

Publications must be ordered in the file by first named author. That is all publications where author X is first named will be filed together. There is no need to enter a publication multiple times for all authors listed (on the ACV or in the file).

The appeals period will not be an opportunity to add further publications - but to provide further verification material should it be required. It is stressed to improve the process that all material should be submitted by the 24th April deadline.

Because of the new process, this office will not be looking for verification material such as proof of refereed status, or programmes etc to prove a conference international/national significance. It must be provided with the publication in the submission.

Appeals & Feedback Period

After the appeals period opens you will be able to log into the ACV system and see a memo field and a publication status field.

If the publication status field is set to Y:
the publication has been accepted and verified for DEST reporting.

If the publication status field is N and there is a flag for more info required:
The memo will identify whether further verification material is required or indicate as to why the publication has not been accepted for DEST purposes. If further verification material is required, please forward the requested material to the Grants Office. If you believe the reason for rejecting the publication for DEST purposes is incorrect, please document your objection and forward to the Grant Office. Appeals and further verification must be submitted to the Grants office by COB Friday 28th June 2007.

If the publication locked field is set to N and there is no flag for more information:
indicating a reason why or requesting further information, it may be that the Grants office has not seen a hardcopy submission of the verification material required. Please contact the Grants office immediately.
